CCI Consulting Privacy Policy for Employee Engagement Surveys

CCI Consulting (“we” or “us”) is committed to protecting your privacy and security. This Privacy Policy applies to your participation in an employee engagement survey administered by CCI Consulting.  This Privacy Statement sets forth the online data collection and usage policies and practices that apply to our administration of employee engagement surveys. It will notify you of the following:

  • What personally identifiable information is collected from you, how it is used and with whom it may be shared.
  • What choices are available to you regarding the use of your data.
  • The security procedures in place to protect the misuse of your information.

Consent

Survey participation is optional.  Participants are invited to participate in the survey but are not required to do so.  By participating in an engagement survey administered by CCI Consulting, you consent to the policies and practices described in this Privacy Policy.

Personal and Demographic Data Collected on the Survey

In a typical survey process, CCI Consulting obtains a list of employees and their associated company email addresses from the organization sponsoring the survey.  This list is used to generate and distribute a unique survey link to each potential respondent.  In the survey, you may be asked to provide us with demographic data that can be used to categorize your survey feedback.  These items are typically department, function, work location, tenure, and age range.  In some cases, this data is extracted from your employer’s cense file and mapped to the survey feedback by linking the email address in the census file with the email address associated with the unique survey link used to access the survey. 

In either case, CCI Consulting will have the ability to link a specific survey response to the name and email address of the individual who provided the response.  This functionality is utilized to allow data to be filtered and/or aggregated based on different demographic factors or combinations of factors.  At no point will the sponsoring organization have access to individual responses.  They will be limited to aggregated responses of groups of 5 or more respondents. 

YOUR PERSONAL CONTACT INFORMATION WILL NOT BE EXCHANGED OR SOLD TO ANY OTHER BUSINESS OR VENDOR.

If we are going to use your personally identifiable information in a manner different from that stated at the time of collection we will notify you in advance via email or by telephone. You will have a choice as to whether or not we use your information in this different manner.  Participation in an engagement survey is always optional.  If you choose to participate and provide personally identifying information to us, we will use and disclose it as described in this Privacy Policy. 

CCI Consulting is required to disclose personal information in response to lawful requests by public authorities, including to meet national security or law enforcement requirements.

Information Supplied by Your Browser / Use of Cookies

CCI Consulting utilizes SurveyMonkey to host the survey.  SurveyMonkey utilizes cookies to improve and optimize the survey process.  Cookies are small bits of data that are stored on the device you use to access the survey so SurveyMonkey can recognize repeat users. Each cookie expires after a certain period of time, depending on what it is used for. Cookies and similar technologies are utilized for several reasons:

  • To gather metrics about your survey taking experience.
    For example, SurveyMonkey collects data about the number of clicks it took Respondents to complete a survey, whether they left and returned to a survey, whether they skipped parts of a survey and how long it took to complete the survey and other details about the survey taking. However, this information is collated and kept at an aggregated and anonymized level only.
  • For security reasons.
    Cookies authenticate your identity and confirm whether you are currently logged into SurveyMonkey or determine if an incident impacts you.
  • To provide you with personalized content.
    SurveyMonkey stores user preferences, your default language, device and browser information, your profile information, which includes the level of usage of service and the web-pages on our site which you visit, so they can personalize the content you see.
  • To improve services.
    SurveyMonkey uses cookies to measure your usage of their websites and track referral data, as well as to occasionally display different versions of content to you. This information helps us to develop and improve our services (it helps us focus on the parts of the service you seem most interested in) and optimize the content we display to you (which may include marketing content).
  • You can choose to remove or disable cookies via your browser settings.

Use of Information

CCI Consulting is retained to administer employee engagement surveys by the sponsoring organization to gather feedback that will help them understand the current level of employee engagement.  This data is collected to help the organization take action to improving the employee experience, increase engagement and productivity, and reduce regrettable turnover.    

While survey data is collected at an individual level, it is utilized and reported at an aggregate level.  We use information about you and your survey responses to provide aggregated feedback to the sponsoring organization on employee experience, aggregate scores on specific survey items, and calculated as well as self-reported levels of engagement for different demographic groups. We also provide the sponsoring organization with all verbatim comments that are submitted in the open-ended comments section.  While these items are not attributed to the individual who provided the feedback, the specific information shared in the content of comment might make possible for the organization to assume that a specific comment came from a specific individual.

The sponsoring organization is limited in their ability to sort or filter survey responses.  They cannot see individual survey responses and are only able to filter survey results to groups of 5 or more respondents.
